Raeburn Recruitment have a requirement for a Travel Desk Administrator to work with our client. This is a temporary opportuntiy for 4-6 weeks and is based in Aberdeen.

Job Description:
The position holder is employed as a Travel Desk Administrator/Receptionist/Office Service Administrator and is required to process their job tasks in a diligent and efficient way as directed by their Manager.

Tasks:
To organise daily accommodation bookings for crew changes (outbound and inbound) sourcing additional accommodation where necessary and ensuring that accurate and timely bookings are made daily.
To ensure that an accurate record is kept and communicated throughout departments where necessary.
To liaise with personnel to ensure accurate and consistent processing of rail fare payments for mobilisation.
To liaise with supervisory personnel to make and maintain accurate crew change bookings.
To carry out administrative duties necessary to ensure accurate recording of all travel and accommodation bookings relating to crew change activity.
To keep accurate records of training accommodation requested.
To liaise with personnel to arrange appropriate accommodation and travel where necessary.
To keep track of bookings and cancellations.
To carry out all administrative duties necessary to ensure accurate recording of all travel and accommodation bookings relating to training activity.
To action all travel requests in a timely and organised manage, and ensure bookings are communicated to whomever they may concern.
To ensure that any cancellations area actioned immediately in order to avoid unnecessary charges where possible.
To carry out all administrative duties necessary to ensure accurate recording of all travel and accommodation bookings relating to corporate travel activity.
To raise accurate Purchase Orders and ensure their release in a timely manner.
To liaise with hotels, travel agents and other travel providers as necessary to ensure correct information is provided for invoicing purposes.
To report accurate information to department managers regarding accommodation and travel bookings at designated intervals
To carry out any ad hoc duties that the Purchasing Manager may allocate from time to time
To provide any required cover when travel desk/office services colleagues are absent.
To participate in on call rota

Qualifications/Experience/Skills:
Experience in fast paced environment
Computer literate
Positive, approachable attitude
