We are currently recruiting for a contract position based in Dyce for a Receptionist/Office Administrator

§ As a receptionist you will be the first point of contact for the company and you will provide administrative support across the organisation.
§ You will handle the flow of people through the business and ensure that all administration tasks are completed accurately and delivered with high quality and in a timely manner.
§ Distribute incoming calls to the relevant department and person in an efficient, friendly and professional manner
§ Good understanding of our clients to understand the importance of a call and where it should be directed.
§ Greeting visitors in a professional manner.
§ Ensure all visitors undertake Companies safety induction and distribute visitors passed and sign in and out of the building.
§ Sorting and distributing incoming post.
§ Arrange deliveries / couriers.
§ Ensure the reception area, meeting rooms and kitchenette is clean and tidy at all times.
§ Manage meeting room bookings, making changes when necessary.
§ Manage the ordering of stationary and office supplies such as milk, coffee etc.
§ Booking travel and accommodation.
§ Order lunches for meetings as and when required.
§ Arrange PPE orders.
§ Raise Purchase Orders.
§ Formatting CVs into companies format.
§ Take minutes of meetings.
§ Assist with office administration such as filing, photocopying, scanning, etc.
§ Responsible for keeping photocopier filled with paper.
§ Carrying out all the shredding along and maintaining the maintenance of the shredder.
§ Assist office staff as and when required.
§ Assist QHSE with safety updates and system requirements.
