Raeburn currently have a requirement for an Admin Assistant for our Oil and Gas client based in Uxbridge. This is a contract role on a 12 month basis.

- Provide administrative support to Area Development Team.
- As well as internal interaction, the role involves external communication with both local companies and other companies within the Oil and Gas industry.

- Organise diaries and travel arrangements
- Arrange meetings both internally and externally
- Attend, record and follow up actions at Team Weekly Meetings
- Attend and record actions at Asset Committee Meetings with Co-Venturers, including Development Committees, Operating Committees and Technical Committees. These meetings are held regularly and are either in Uxbridge or Aberdeen
- Organise and attend workshops, events and team building activities
- Prepare Key Performance Indicator material
- Prepare presentation material
- Prepare newsletters
- Organise new starters and leavers, maintain manpower spreadsheets, floor plans and organisation charts
- Action / Respond to incoming post
- Collate, edit and distribute reports and documents
- Screen phone calls
- Maintain monthly timesheets
- Prepare and submit expenses
- Update intranet content and UKMS
- Create and process purchase requisitions, invoices, and service entries within SAP
- Department contact for queries with Livelink, Concur, SAP, TOTs365, ActionBase, video conferencing, new starters, office moves, room bookings, travel arrangements etc.
- Cover other Departmental Administrators when required

- Strong organisational skills essential

- Excellent customer service / people skills
- Must be able to work both on own initiative and as part of a team
- Must have the ability to multi-task
- Must have excellent verbal and written communication skills
